MANAGER, HR & OFFICE ADMINISTRATION
Report To: Vice President, Government Affairs & Director, Human Resources
(based in DC office)
General Responsibilities:
General oversight of NCBA Government Affairs office. Handle all human resource needs for the DC office staff. Work closely with HR department in Denver. Process all accounting needs, maintain office accounts and manage office budgets. Perform event planning duties in DC office when applicable. Serve as staff liaison to facilitate a productive work environment in all three cities.
Specific Responsibilities:
· Work with Vice President for Public Policy and Executive Director, Human Resources to maintain all staffing needs for the DC office
· Assist with budget review, analysis and preparation for the DC office
· Recruit candidates, manage all details surrounding interviewing and hiring of staff including reference-checking, letters of employment and internal/external announcement letters
· Assist in mentoring new hires, to include all new employee orientation
· Handle all paperwork/needs of existing staff
· Liaison with Denver and Chicago offices
· Work with Meetings and Conventions staff regarding all responsibilities for the Spring Regulatory/ Legislative Conference
· Work with Accounting Department regarding all accounting questions and issues, all invoices, check requests, contracts, requisitions, etc.
· Assist Policy Staff and visiting NCBA staff with in-house meetings as needed
· Coordinate special functions (receptions, office parties, special events)
· Liaison with Building Management and Maintenance
· Govern upkeep and general appearance of Government Affairs office
· Purchase office furniture, equipment and supplies as necessary
· Responsible for upkeep and maintenance of office equipment
· Coordinate timekeeping system for payroll, disseminate payroll checks
· Keep postage current on Postage Machine
· Work with HR team to accomplish HR Mission on a daily basis. Which includes but is not limited to:
· Promoting employee relations
· Participating in Staff Development Meetings
· Serve as primary contact for medical/dental/life insurance/Section 125-enrollment change, 401K and pension programs for all staff – including open enrollment
· Monitor and coordinate employee’s performance appraisal program with Vice President for Public Policy and Director, Human Resources
· Oversee approval and tracking of office professional development requests and tuition reimbursement requests
· Maintain office morale, act as support system for DC staff
Qualifications:
Must have minimum two years experience in office management role. Human resources and accounting experience necessary. This professional must have exceptional interpersonal skills, excellent organization and analytical skills and a working commitment to our management philosophy. Background experience utilizing various computer programs is desirable. Candidate must possess a bachelor’s degree in business, public policy or related field. Minimal travel required.
